Privacy Policy
What personal information we collect, why we collect it, who we share it with, and the choices you have.
Motus Assist is operated by Motus Assist LLC. We handle compliance filings for transportation businesses, which means you hand us real details about your company and your customers trust us with them. This page sets out plainly what we ask for, what we do with it, and what you can tell us to do about it.
We have tried to write this in ordinary language rather than legal boilerplate. If anything here is unclear, email us and ask — the address is at the bottom.
What we ask you for
Nearly everything we hold, you typed in yourself. It falls into five groups.
- Your business and its filing details — company name, USDOT number, fleet size, business address, and whatever else the UCR or related filing requires.
- How to reach you — your name, email address and phone number.
- Payment details — these go straight to our payment processor, not to us. What comes back to us is confirmation that you paid, the transaction reference, the amount, the card brand and the last four digits. Your full card number, expiry date and security code never reach our systems.
- Proof that you agreed — the date, time and IP address captured when you tick the box accepting our Terms at checkout.
- Technical detail about your visit — IP address, browser, device, which pages you looked at and how you moved through them. More on that below.
Why we need it
Each piece above earns its place. We use it to prepare and submit your filing, to take payment and issue receipts or refunds, and to send you confirmations and the filing documentation itself. We use it to answer you when you get in touch. We keep the records our accountants, the tax authorities and any future payment dispute will expect us to have. We use it to spot fraud and keep our systems secure. And we look at how the site gets used so we can make it less annoying.
We do not build advertising profiles from it, and we do not use it to market unrelated products at you.
Who else sees it
Two outside parties are involved in delivering what you bought:
- Our payment processor, which takes the payment. Your card details go directly to them and are covered by their own privacy policy and security standards, not ours.
- The government registration system — the Unified Carrier Registration Plan, state agencies and the related portals. Submitting your filing to them is the entire point of the service, so this one is unavoidable.
We may also hand over information when the law requires it — a valid legal request, a court order, a regulatory obligation — or where we need it to bring or defend a legal claim.
We do not sell your personal information, and we do not hand it to advertisers, marketing networks or data brokers.
Analytics and cookies
We run Microsoft Clarity on this site. It records how visitors move through the pages — what was clicked, how far people scrolled, where the mouse went, along with general device and browser information — and can replay a session so we can see where somebody got stuck. We use it to find and fix the confusing parts of the site, and for nothing else.
Microsoft handles that data under its own terms, which are at privacy.microsoft.com/privacystatement.
We also set the cookies the site needs to function — chiefly the one that keeps your session alive while you work through a filing and reach checkout. Your browser settings can refuse or clear cookies, but blocking the essential ones will stop checkout working.
How long we hold on to it
Filing and transaction records stay with us for as long as we need them to deliver the service and to satisfy our legal, accounting, tax and dispute-resolution obligations. Anything attached to a payment is kept at least as long as a dispute or an audit could realistically surface. Once a record has outlived all of those purposes we delete it, or strip it back so it no longer identifies anyone.
Keeping it safe
Traffic to and from this site is encrypted over HTTPS. Access to customer records inside the company is limited to the people whose job requires it. Card data is handled by a processor that maintains its own PCI DSS compliance, which is precisely why we chose not to touch card numbers ourselves. None of that makes any system perfectly secure, and we would rather say so than imply otherwise.
What you can ask us to do
Get in touch and you can:
- ask for a copy of the personal information we hold about you;
- have anything inaccurate or incomplete corrected;
- ask us to delete information, so long as we are not legally required to keep it for accounting or filing-record reasons;
- tell us to stop sending you anything that is not essential to your order.
Email support@motusassist.com with your name, your USDOT number and what you want done. We may have to confirm who you are before we act on it.
If you live in a state with its own privacy law
California, Colorado, Connecticut, Utah and Virginia — among others — give residents extra rights: to know what is collected about them, to have it deleted, and to opt out of personal information being sold or shared for targeted advertising. We do not sell personal information or share it for advertising purposes, so on that particular right there is nothing for you to opt out of. Exercising any privacy right will never affect the service or price you receive from us.
Under-16s
This is a service for businesses and we do not aim it at children. We do not knowingly collect information from anyone under 16. If you think a child has given us information, tell us and we will remove it.
Leaving our site
We link out to other places, including government portals such as www.ucr.gov. Once you follow a link you are on someone else's site, under someone else's privacy practices, and we have no control over what they do. Their policies are worth reading.
When this policy changes
We will update this page when our practices change. The date at the top tells you when it last happened, and anything significant will appear here before it takes effect rather than after.
